How to Use Trello, Part 1: Creating a Board

How to get things done is always important to me and for that reason, I’m always on the look out for new tools and resources. The latest find is called “Trello”, and I would best describe it simply as a “visual task management board”.

I’ve spent the last few weeks working with it and like many tools, it has some pro’s and con’s but overall, I like the visual view of being able to have a summary that I can slide from one spot to another and if I need more detail I can dig deeper into the “card”, their term for a task.

The biggest downfall I’ve found so far is that it is 100% reliant on an internet connection,even the mobile app version. :(. If it had the ability to take changes and hold them until you sync it, like Evernote, this tool would easily win two more stars with me. However, it’s still worth giving it a look.

How to Get Started with Trello

The terminology is important as each project is called a “Board”. Boards have a collection of “lists” and lists contain “cards”. First thing to do is to create a “New Board” in your board page.

By clicking “New Board”, a pop-up window will appear and there’s an option there where you can name your board by filling-in the Title slot bar. After naming your board, just click the Create green button.

Create Lists on Trello Board

Once your Board is created, you can see your default lists.

As you can see above, this is as simple as it can get- “To Do” “Doing” and “Done”, that’s a simple way to get started.

list is a collection of vertically-arranged cards. It may represents things to do, collection of ideas, things to remember and so on. If you want to add more list to your Trello board, you can do that by clicking “Add a list”

You can also edit or rename your list  just by clicking it. It also allows you to arrange your list by dragging them left and right.

Add Cards to Trello Board

Cards are the basic unit of a board. They are under your lists on your board which might represent things that you must do or remember. By adding a card, select “add a card” on your selected lists. For example, under “To Do” list, I add a card that says “Make a Trello tutorial article” then click the Add green button

You can add cards on your lists as many as you want.

By clicking the arrow down button on selected card, you can see the options there on how you can edit and add more details on your card.

Labels: represented by colors and it’s a way on categorizing a card. A single card can have multiple labels.

Members: you can add members to a specific cards by clicking Members and searching your member’s name.

Due Date: you can set a specific date and time for a when a card is due. Yellow badge means it’s within 24 hrs of being due and Red badge means it’s past due.

Move: you can move a card and lists within a board to which they belong. You can drag and drop them or by selecting the Move option to arrange your card/lists.

Subscribe: you can subscribe to a specific cards and allows you to be notified when another user makes a change to a card.

You can also Vote for a card if you agree to what it says. Attach a file on a card and Copy a specific card all under the More action button.

From the first time I stumbled upon the world of online marketing I’ve been hooked. As a natural avid learner & problem solver, I started devouring every piece of content I could find and putting these tactics into action right away. Then a strange thing happened…. I got lost, things seemed to get overly complicated and each way I started to turn things just seemed to turn into a bowl of spaghetti. The more I learned, the more I realized I was only touching the tip of the iceburg and I needed to dive deeper into the topic. Sound familiar? Then my worse fear happened. That THING that I always heard of hitting other people but not me.. that thing is..

Paralysis by Analysis

It happens to everyone at one point or another, the trick is identifying it and moving beyond it. For some they can quickly pull themselves out of it or rise above it, for me, it was about a three year paralysis. However, I have to say, most of that was due to other time commitments, at least that’s what I like to tell myself. I’ve been in the world of online marketing for over 10 years now, I’ve worked with some of the best, smartest marketers and reviewed hundreds of courses, pdf’s and ebooks from the good (and so not so good) marketers. When I stop and look back at these years, I see this wide gap, the paralysis by analysis, it’s now so easy to identify when others hit it. For the beginner, the person that states “I want to start selling and build an online business”, the answer across the board is easy  and training is plentiful. Find your niche, buy a domain, put up a WordPress blog, start publishing, mix in social media and build your list. Pretty straight forward right? OK, so maybe I oversimplified that just a little.. but those are the basic milestones. Then the beginner transitions out of that role. They have a platform to serve their message and they want to reach more people, build more products & sell more.. they expand into the world of website traffic strategies and lead generation focused on conversions. That’s where you can start going into so many directions that it does become overwhelming on what to do next… there are hundreds of choices for the online business owner that wants to grow their skills. Do they follow:

  • The YouTube/video experts?
  • The blogging experts?
  • The “How to be an Author” experts?
  • The Pay Per Click experts?
  • The Affiliate experts?
  • The “How to be a consultant/sell your services” experts?
  • The Social Media experts?
  • New evolving strategies like podcasts & Kindle books?

What strategies and tactics can your business benefit from? What blends with your personal style and customers?

Thinking To Big?

In talking with people I find that sometimes their fall into analysis paralysis is simply that they get too caught up in themselves. I don’t want that to sound cruel.. but it’s true. Get over yourself and think about who you are building a business to serve. You are not doing any service to those people by “getting all up in your head” and not producing anything. Keep the focus on them, and serve them what they want/need. [pullquote]“A goal is a dream with a deadline.” – Napoleon Hill[/pullquote]Every business owner should have big stretch goals and forward thinking strategies but it should not stop you from the steps you need to take today and tomorrow to set the foundation for those goals.

Too Many Choices?

Understanding what to implement and when can be another cause of that analysis by paralysis. We live in the information world and it can work against us having too much information at our access while we sit on our tushes and try to soak them all up. You want to learn it and get it right before you actually do something. And this my friends, is the killer… because there is always something to learn and this person will tell you it’s the right thing and that person will tell you it’s not.. or you learn all this SEO (search engine optimization) stuff and then there is another search engine update and all of that is null and void.

Is it a Training Flaw?

Here is my question that I’ve been pondering, is it a flaw in the trainings that are offered to online businesses? In the effort to over deliver value, is it that the multi-media courses that are full of hours upon hours of training is just too much for someone to learn and feel like they can take action? Are there trainings available that cover that gap and bridge the beginner into the next phase, from foundation to expansion? Is it all or nothing? How do you feel about taking pieces from each of the above experts and implementing them in your own way? I would love to hear others thoughts on this topic because for me personally, I think it’s a really juicy one so leave a comment below and tell me what you think of paralysis by analysis. Implementation in Business…What’s Holding You Back?

In the last 11 years that I’ve worked with startup businesses, I hear the same question repeated hundreds, if not thousands of times[cow_johnson general_bgcolor=”#c1f4ff” general_gradientstyle=”diagonal_up”]”What is the key to implementation in business? I know what I should be doing, but I have trouble figuring out what to do next and how to do it”[/cow_johnson] This is not uncommon. Business is overwhelming. Period.

5 Key Business Sections

When I look at a business, I see 5 Key Business sections:

1. The Lead and Relationship– How is that business attracting new leads and building a relationship with prospective customers?

2. The Product– What are they selling and what goes into that production piece? This isn’t always a product to sell, it could be a person that you are branding or the free offers/content that you are using for the Lead and Relationship. I also include the marketing and sales process here, because a business is always selling something- the lead, the click, the buy, the experience…it’s how a business keeps it’s doors open.

3. The Business Direction & Strategy – This is a key part of any business. There should always be someone or a team that is looking at the overall strategy of the business both long term and short term. If you are constantly worried about cashflow and turning a quick buck then it’s not a business with long term sustainability.

4. Front Stage – a term we use all the time to describe what your customers see on the front end (like when you have unexpected company and they see a nice clean kitchen and not the dirty dishes you threw in the oven to hide :0 ).

5. Back Stage – all the nitty gritty pieces that need to be put in place and working to make the Front Stage look seamless and work.  These are all the HOW pieces – how you get a website up, how you get the lead capture working and the right messages going out, how the relationship building is implemented and how the product is filled…. and so much more.

Now, a majority of business owners are familiar with the above 5 stages, because I’m sure they remember, if they still aren’t there, managing all those stages themselves. Business owners make a joke of being the chief cook and bottle washer, that’s what they call bootstrapping right?

Learn First, Implementation Strategy Second

The challenge here is how to handle implementing strategies in business without working 17 hour days, 7 days a week.

There is always so much to learn in a business, and if you are in the world of Internet Marking, there is always the “new shiny object syndrom”. How do you cut through it all?

I’ve been through hundreds of hours of Internet Marketing training programs. It’s a personal passion, I love to see the different techniques and strategies people use for results in their businesses.  The ways to build a business or just make money on the internet (and yes, they are two very different things) is always so astounding to me.

implementation_in_businessImplementation Strategy #1: There’s a technique where I take notes in all of these trainings and strategies that I see, and I put them all in a mindmap. I do it while I’m reviewing the materials or after I talk to someone and  hear a strategy that’s working for them,  so it’s easy to remember/listen/read and jot down notes and the free flow structure of a mindmap makes it easier to get a visual of the big picture than a word document.

Each training has it’s own color, then when I find something that is an “AHA moment” I  copy that from the overall course notes into one map I have that’s just for my business. It MUST be something that is implementable in the present or a strategy for the near future, otherwise that Business Implementation plan just gets too cluttered and you get back to overwhelm.

What’s just as important is having a RESULTS reporting spot after that. Think S.M.A.R.T goals.. everything in your business should be Specific, Measurable, Attainable, Relevant and Time Based so you can track your results and ROI.

Kajabi Created vs Join Date

The Kajabi user profiles show a “Join Date”. This is the date the person actually joined the subscription level that shows in their user profile.

However, if you download the csv file of your users (which you should do on a regular basis to keep a personal 100% backup), then you will see a “Join Date” and a “Created Date”.

The “Created Date” is the date they optin and created an intial account vs the “Join Date” when they actually become a full member. However, in the user profile you will only see a “Join Date”.

However, recently I noticed that you can no longer search portal users by “optins” from the “Portal Users” tab AND any users that are not already in your Kajabi portal as users, their names show up under the comment but it is NOT linked to any profile. Unlike before you could click on the persons name and see when they opted into your funnel.

This is a silent change that I noticed in using the system, I’m not sure why or if it will be back.

A negative I see is that I normally like to watch those users that optin to see what other comments they have (on other prelaunch content pieces). Now without the ability to link to that profile, I lose the ability to watch all the comments that user makes in one easy place OR if they convert into a buyer.
